We are seeking a highly skilled and experienced Senior Program Administrator to lead our program implementation efforts. Roles and Responsibilities:

Documentation & Material Management:

  • Undertake the documentation of training sessions, workshops, conferences, events conducted, maintaining systematic records in both hard copy and soft copy formats.
  • Manage all equipment and materials, ensuring their availability.
  • Coordinate the printing of branding materials, certificates or other necessary documents as and when required.
  • Oversee the dispatch of materials to their respective locations.

Documentation and Repository Management:

  • Act as the central repository of program-related or event-related documents, ensuring accessibility and organization for internal reference and audit purposes.
  • Continuously update and organize online and offline document repositories to ensure efficient data management.
  • Collaborate with cross-functional teams to collect, review, and compile program data and reports, contributing to accurate and comprehensive documentation.

Travel Arrangements for Staff:

  • Oversee the booking of and book tickets for team members, including train, bus and flight tickets or booking of car hire, and their accommodation in accordance with travel schedules and office rules and regulations governing employee travel.
  • Maintain accurate records of travel bookings made.
  • Prepare and maintain expense records for the travels undertaken by team members, following official guidelines for expense record keeping.

Management of In-House Programs:

  • Make logistical arrangements for in-house training programs, ensuring all necessary resources and facilities are in place for seamless execution.

Cross-functional Collaboration:

  • Liaise between various departments, including training and management, to ensure a clear understanding of program requirements and objectives.
  • Collaborate with cross-functional teams to align program activities with organizational goals and strategies.

Standard Operating Procedures (SOPs) Development and Compliance:

  • Contribute to the development of comprehensive SOPs for program execution.
  • Collaborate with relevant teams to create SOPs outlining pre and post-program tasks, including defined checklists.
  • Ensure all program activities adhere to established SOPs for consistency and streamlined processes.
  • Monitor program adherence to SOPs, making necessary adjustments for optimization and timely task completion.
  • Identify opportunities for SOP enhancements and work with teams to continuously improve processes.

Program Performance Analysis:

  • Analyze program performance metrics, including budget analysis, schedule forecasts, and other relevant data to provide insights for informed decision-making.
  • Collaborate with management to identify training needs and gaps, translating these insights into actionable plans for training program development.

Qualifications:

  • Bachelor’s degree in a relevant field such as Business Administration, Public Administration, Management, or Social Sciences; Master’s degree preferred.
  • Proven work experience of at least 4-5 years in program administration, project management, or a related field.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in document management and record-keeping.
  • Ability to multitask, prioritize, and meet deadlines in a dynamic environment.
  • Familiarity with CSR programs and funders’ requirements is a plus.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Experience with digital platforms like Cisco WebEx, Zoom, Microsoft Teams, or a willingness to learn.
  • Strong email writing skills and report-drafting abilities.
  • Fluent in English, Hindi, and Gujarati, comfortable with meeting new people.
  • Ability to connect with diverse target groups.
  • Strong team player with politeness across hierarchies.
  • Willingness to take on new responsibilities and roles.
  • Ready and willing to travel across the country when required.

Health Criteria:

  • Candidate must be fit and healthy.
  • Candidate should have stamina and good health to effectively manage tasks and responsibilities.
  • Individuals with health conditions like cardiac issues, spinal or lower back problems, or knee-joint concerns may consider whether the role aligns with their well-being.
  • Individuals with any health issues that might impact tasks such as prolonged computer work, documentation, or engaging with stakeholders should evaluate their suitability for the role.

Remuneration: Please note that for these role of we are offering a salary of Rs 40,000-50,000/- per month (negotiable based on experience and strengths of candidature)
